What each status means
Not Started — your account is set up, but you haven't entered any details or started your claim yet.
In Progress — you've started your application but haven't finished it. Complete the remaining steps so we can review it.
In Review — our tax experts are checking your claim to confirm it's valid and that you're eligible.
Approved — our tax experts have reviewed your claim and approved it to go ahead.
Estimate Sent — we've sent you an estimated rebate figure. Please log in to review and approve it so we can submit your claim.
Estimate Approved — you've approved your estimate and your claim is being finalised for submission.
Ready for Submission — your approved claim has been finalised by our tax experts and is queued to file with HMRC.
Submitted — your claim is now with HMRC. HMRC processing usually takes 1 to 3 weeks, and once HMRC releases your rebate we pay you within 2 to 3 working days.
HMRC Query — HMRC have raised a query on your claim. We'll be in touch if we need anything from you to resolve it.
Paid — your rebate has been paid to you by TaxPro.
Claim Closed — your claim has been closed. This can happen for a few reasons (for example it didn't qualify, or we couldn't reach you). If you're unsure why, just message our team and we'll explain.
My claim looks stuck on the same stage
If this is your first claim with us, it is almost always waiting on HMRC to set you up, and that happens by post. There are four common reasons, and three of them need something from you.
1. You're waiting on your UTR letter
Your UTR is a 10-digit number HMRC posts to you after we register you for Self Assessment. Typical wait is 2 to 3 weeks. Nothing else can happen until it arrives, because we cannot ask HMRC for permission to act for you without it.
2. Your UTR has arrived but hasn't been entered
This is the most common cause of a claim sitting still for weeks. Receiving the letter isn't enough — the number has to be in your TaxPro account before anything moves.
Sign in at app.taxpro.co.uk and add the 10 digits (no spaces), or just send us the number here in the chat and we'll add it for you.
3. Your authorisation code has arrived but hasn't been entered
Once we have your UTR, HMRC posts a second letter with an authorisation code that starts with SA followed by 8 digits. Typical wait is 7 to 10 working days.
This code expires, so enter it as soon as it arrives — add it in your TaxPro account or send it to us here and we'll enter it for you. If it has expired we can request a new one, which starts the postal wait again.
4. HMRC rejected your registration because your address doesn't match
If you've had an email or letter from HMRC saying they can't process your Self Assessment registration because your details don't match their records, it is nearly always the address.
HMRC compare the address on the application against the address they already hold for you. If you've moved and HMRC still has your old address, the two won't match and the registration is rejected.
How to fix it:
Check the address HMRC holds for you. Open the HMRC app and tap Your details, or sign in at gov.uk/personal-tax-account and open Menu → Profile and settings.
If you can still receive post at the address HMRC holds, the quickest fix is to change the address on your TaxPro application to match HMRC exactly. Tell us and we can update it for you.
If that address is no longer yours or you can't receive post there, update your address with HMRC first (in the HMRC app or your Personal Tax Account), then tell us so we can match your application to it.
Once the two match, tell us and we'll re-submit the registration straight away.
How long the whole thing takes
First-time HMRC set-up (both letters, by post): commonly 5 to 8 weeks
Our review and your estimate: usually a few days
HMRC processing after we submit: 1 to 3 weeks
Payment to your bank after HMRC releases it: 2 to 3 working days
Most claims complete in around 5 to 8 weeks end to end. Entering each number the day the letter arrives is the single biggest thing that speeds up your payout. 📬
